LexFis Privacy Policy — AI Bot and Publisher

1. Scope
LexFis operates the LexFis AI Telegram bot and LexFis Publisher. This Privacy Policy explains what information may be processed when you use the LexFis AI Telegram bot or connect LexFis Publisher to TikTok.
2. Information processed by the LexFis AI Telegram bot
When you interact with the LexFis AI Telegram bot, LexFis may process:
• text messages, including legal questions, follow-up questions, instructions and feedback;
• documents and files that you upload for review or analysis;
• audio and video files, voice messages, and text transcriptions created from those files;
• Telegram identifiers, including Telegram user ID, chat ID and username, if available;
• technical and operational data required to deliver messages, maintain the service, prevent abuse, diagnose errors and provide support.
Documents, messages and media may contain personal data or confidential information relating to you or third parties. You are responsible for ensuring that you have a lawful basis or other necessary authority to submit such information.
Do not send passwords, payment card details, authentication codes, API keys or other credentials through the LexFis AI Telegram bot.
3. Purposes of processing
LexFis processes information to:
• receive and respond to legal questions and instructions;
• analyze, summarize and explain uploaded documents;
• transcribe, summarize and analyze audio or video;
• maintain conversation context and provide follow-up answers relating to an uploaded document;
• operate, secure, test, troubleshoot and improve the service;
• prevent fraud, misuse and technical abuse;
• respond to support, privacy and deletion requests; and
• comply with applicable legal obligations and protect legal rights.
Automated outputs may contain errors and do not replace advice based on a full review by a qualified lawyer.
4. Service providers and international processing
To provide the LexFis AI Telegram bot, LexFis may use third-party AI and API services, cloud hosting or storage services, transcription providers and automation providers. Information may be transferred to and processed by those providers only to the extent reasonably necessary to perform the requested service, maintain security or provide technical support.
Telegram processes information in accordance with its own terms and privacy policy. Other service providers process information under their own terms, privacy policies and contractual arrangements. Depending on the provider’s infrastructure, information may be processed in countries other than the user’s country.
LexFis does not sell personal information processed through the LexFis AI Telegram bot or obtained through TikTok APIs. LexFis does not use information obtained through TikTok APIs for unrelated advertising or marketing purposes.
5. Retention and temporary files
LexFis retains information only for as long as reasonably necessary for the purposes described in this Policy.
Temporary copies of uploaded documents, audio, video and processing files are deleted after processing or within 30 days after processing is completed, unless a longer period is required to provide a user-requested follow-up service, investigate a technical or security incident, comply with law or establish, exercise or defend legal claims.
Messages, transcriptions, Telegram identifiers and related service records may be retained for up to 12 months from the last interaction with the bot, unless the user requests earlier deletion or a longer retention period is required by law, for security, dispute resolution or the establishment, exercise or defense of legal claims.
Backup copies may remain for a limited additional period until they are overwritten in the ordinary backup cycle and are not used for ordinary processing.
6. Data deletion requests
You may request access to or deletion of personal data associated with the LexFis AI Telegram bot or LexFis Publisher by emailing info@lexfis.ru.
Please use the subject line “Data Deletion Request” and provide enough information to identify the relevant records, such as your Telegram user ID, chat ID or username, or the TikTok account associated with LexFis Publisher. Do not include a password, payment card details or an authentication code in the request.
LexFis may take reasonable steps to verify the requester’s identity and authority. Subject to applicable legal obligations and legitimate grounds for retention, LexFis will delete or anonymize the relevant personal data within 30 days after a sufficiently verified request.
Users may also revoke LexFis Publisher’s access to their TikTok account through the applicable TikTok account settings.
7. LexFis Publisher and TikTok
LexFis Publisher is a web-based publishing tool operated by LexFis. This Privacy Policy describes how information may be processed when LexFis Publisher is connected to TikTok.
When a user connects a TikTok account to LexFis Publisher, the service may receive information necessary to authenticate the account and provide the functionality authorized by the user.
Depending on the permissions granted through TikTok, such information may include account identifiers, basic profile information, authorization tokens and technical information necessary to upload or manage content.
LexFis Publisher uses this information solely to provide, operate, maintain and secure its publishing functionality and integration with TikTok.
LexFis Publisher may use the TikTok Content Posting API to upload video content to TikTok, including transferring content as a draft for further review, editing and publication by an authorized user.
Information is retained only for as long as reasonably necessary to provide the service, maintain security, comply with applicable legal obligations and resolve technical or operational issues.
LexFis uses reasonable technical and organizational measures designed to protect information against unauthorized access, disclosure, alteration or loss.
Where applicable, users may request access to or deletion of information associated with the LexFis Publisher integration by contacting LexFis.
TikTok and other third-party services process information in accordance with their own terms and privacy policies.
8. Security
LexFis uses reasonable technical and organizational measures designed to protect information against unauthorized access, disclosure, alteration or loss. No method of transmission or storage is completely secure.
9. Changes to this Policy
LexFis may update this Policy when the services, providers or legal requirements change. The updated version will be published on this page with a revised “Last updated” date.
